Job Application Email & Letter Format (With Templates)
A job application email has one job: get a recruiter to open the resume. Most applications fail before that, because the subject line says "Application" and the body is a copy-pasted paragraph.
Here is the format that survives a recruiter's inbox — subject line, body, attachments, follow-up — plus a template you can adapt in five minutes.
Job application mail format: the six parts
The standard email format for job application is the same six parts. Get these right and the content almost writes itself:
- To: the recruiter or HR address — one recipient, never a CC list.
- Subject: role + level + availability.
- Salutation: "Hi [Name]," if you know it, otherwise "Hi hiring team,".
- Body: five lines — role, proof, why this company, the ask.
- Attachment: one PDF resume with a clean file name.
- Sign-off: your name, phone and one link.
The subject line
Recruiters scan subject lines for three things: the role, the candidate's level, and a reason to open. Put all three in one line.
- Good: "Java developer — 2 years, immediate joiner"
- Good: "Fresher Python developer — 3 projects, available now"
- Weak: "Job application"
- Weak: "Resume"
If the job post has a reference number or exact title, use it. "Backend Developer (Req 4412)" tells the recruiter instantly that you read the post.
The body: five lines, under 120 words
- Greeting with a name. "Hi Priya," beats "Dear Sir/Madam". If you do not know the name, "Hi hiring team," is fine.
- What role you are applying for. One sentence, with the exact title from the post.
- Your strongest proof. One line: years of experience, a relevant project, or a measurable result. Not a list of every technology you have touched.
- Why this company. One specific sentence. A product, a team, or a problem you have worked on. Generic praise is filtered out mentally.
- The ask. "Would you be open to a short call this week?" or "Is your team hiring for this role right now?"
Resume email format: how to send your CV to HR
- File name:
FirstName_LastName_Role.pdf— notresume_final_v3.pdf. - Format: PDF. Word files break formatting on phones.
- Size: under 1 MB. Compress images before attaching.
- One attachment only. No zip files, no images, no five files.
- One link if you have a portfolio or GitHub — in the body, not as a second attachment.
Template you can copy
Subject: Java Developer — 2 years experience, immediate joiner
Hi Priya,
I am applying for the Java Developer role at [Company]. I have two years of experience building Spring Boot services, including a payments service that handles 40k requests a day.
I have worked with the kind of event-driven systems your engineering blog describes, and I would like to contribute to that team.
My resume is attached. Would you be open to a short call this week?
Thanks,
Rohan Sharma

Email to HR for a job: the four-step version
If you already know the role, the email to HR for a job is short:
- Find the address. Use the job post or careers page — check the HR email ID format guide before guessing.
- Write the subject. Role + level + availability: "Frontend developer — 1 year, immediate joiner".
- Send the mail to HR. Five lines, one PDF, one ask.
- Follow up once. After four or five working days, reply to your own email with one line.
When people ask how to write mail to HR for a job, the answer is usually that they are writing too much. The recruiter needs the role, your proof, and a reason to open the resume — nothing else.
Simple job application email sample for freshers
Subject: Fresher Frontend Developer — React projects, immediate joiner
Hi [Name],
I am applying for the Frontend Developer (Fresher) role at [Company]. I have built three React projects, including a job-tracker app used by 200+ students in my college.
I saw that your team works on [product], and I would like to start my career there.
My resume is attached. Is your team hiring for freshers this quarter?
Thanks,
[Your name]

Keep it under 100 words. Freshers lose replies by writing a paragraph about college and burying the project link at the bottom.
Job application letter format (with sample)
Some employers still ask for a formal job application letter — usually government roles, campus placements and smaller firms. The job application letter format is fixed: sender details, date, receiver, subject, salutation, body, closing.

Dear Sir/Madam,
I am writing to apply for the post of [role] at [Company], advertised on [source] on [date]. I have [X years] of experience in [skill], and my most relevant work is [one line].
My resume is enclosed for your review. I would be glad to discuss how I can contribute to your team.
Yours sincerely,

Keep an application letter for a job to one page. If the employer accepts email, send the email version instead — it is read faster and tracked better.
What to avoid
- No "To whom it may concern" when the name is in the job post.
- No mass CC. Emailing ten recruiters in one thread tells each of them they are one of ten.
- No unverified addresses. A bounce hurts your sender reputation — check the HR email ID format guide first.
- No follow-up spam. One follow-up after four or five working days, then stop.
Where to send it
The email is only as good as the address it reaches. Applying through a portal puts you in a queue; emailing the recruiter directly puts your resume in front of a person.
If finding verified HR contacts is the slow part, HirePing's HR email list delivers 100+ verified recruiter emails per day, filtered by your skill and country.
