How to Email HR Directly (With a Template That Gets Replies)
Applying through a job portal puts your resume in a queue with hundreds of others. Emailing the HR or recruiter directly skips that queue: a real person sees your name, your skills and your resume in the first ten seconds. But a careless email gets deleted just as fast. Here is how to write one that gets read.
1. Get the subject line right
HR inboxes are full. Your subject line has to say who you are and what you want in one line. Weak subject lines look like marketing; specific ones look like a colleague messaging them.
- Weak: "Job application", "Resume attached", "Looking for job"
- Strong: "Java Developer, 3 yrs — applying for Backend role", "Fresher (B.Tech 2026) — Python Developer opening"
Include the role, your main skill and your experience level. No emojis, no all-caps.
2. Keep the email short
Long paragraphs do not get read. Four short blocks work: who you are, what you have done, what you want, and a clear ask. Everything else lives in the resume.
Copy-paste template
Subject: Python Developer, 2 yrs — interested in your Backend opening
Hi [Name],
I am a Python developer with 2 years of experience building REST APIs with Django and PostgreSQL. I saw that [Company] is hiring for backend roles, and I would like to be considered.
A quick snapshot: I reduced API response time by 40% on my last project and have handled production deployments end to end.
My resume is attached. Would you be open to a short call this week?
Thanks,

3. Attach the resume as PDF
Name the file properly: Name_Role_Experience.pdf, for example Rahul_Sharma_Python_2yr.pdf. A file called resume_final_new(2).pdf tells HR nothing and often will not be opened.
4. Follow up once, after four to five days
One polite follow-up is normal and often gets replies. Two is pushing it. Three gets you marked as spam. Reply in the same thread so your original email stays in view.
5. Send to the right person, not a random inbox
An email to a generic careers@ address behaves like a portal application. A named HR or recruiter address gets read. That is exactly what HirePing delivers — verified recruiter emails for your skill domain, refreshed daily.
Common mistakes to avoid
- Copy-pasting the same email to fifty people with the company name unchanged.
- Writing "I am the perfect fit" with nothing to back it up.
- Putting your whole resume in the body and attaching nothing.
- Sound desperate. Be direct and matter-of-fact.
